What it is and what it is for#
Before creating content you have to get the skeleton in place: who you are (company), where people work (locations and organisational structure) and what initiative you are going to launch (project).
The order matters: the locations and the structure are used to segment almost everything else, so it is worth having them in place before importing users.

How to set it up#
1. Company#
| Field | What it does |
|---|---|
| Name, sector and size | Identifying details. The name appears in communications and emails. |
| Languages | The languages the content can be written in. |
| Default language | The one applied to anyone who does not have a language assigned. |
| Allowed domains | Authorised email domains. Only someone with an email address on one of those domains can sign up. |
| Email verification | Requires the address to be confirmed before the first login. |
| Store | Switches the reward redemption module on or off. |
| Surveys | Switches surveys on or off. |
| Peer recognition | Switches on or off whether people can give each other points. |
The last three are company-wide switches: if you switch the store off here, it disappears for the whole company, even if there are items configured.
2. Locations#
A location is a real workplace. Each person belongs to one.
| Field | What it does |
|---|---|
| Name | How it is shown in the app and in reports. |
| Client code | Your own identifier for the site. It is used to reconcile with your systems when importing users. |
| Manager | Who approves the challenges of the people at that site. |
| Active | A deactivated location can no longer be assigned. |
3. Organisational structure#
Same format as the locations, but for the org chart: regions, divisions, areas. A unit can be enabled for several projects at once.
Location and organisational structure are two independent axes and both are used for segmentation. A common pattern in retail: the location is the store and the structure is the geographical region or the line of business.
4. Project#
The project is the initiative: it has its own audience, its own points economy and its own content.
| Field | What it does |
|---|---|
| Name and description | They identify the project in the panel and in the app. |
| Start and end date | They set the boundaries of the run. A project with an end date is a campaign; with no end date, an ongoing programme. |
| Front page heading and subheading | The welcome text the person sees when they come in. It accepts formatting. |
| Banner | The project's front page image. |
| Menu items | Which sections are shown in the app for this project. |
| Recognition budget | Points each person receives per period to hand out. See Peer recognition. |
| Limit per recognition | Maximum points in a single recognition. |
| Streaks | Switches streaks on and sets their type and their reward. See Points, badges and streaks. |
What the employee sees#
The first time they come in they see the project's front page: the heading and the subheading you have written, the banner, and the menu with the sections you have switched on. If you have configured a welcome notice, they will see it above everything else (see News and communication).
Anyone who belongs to several projects can switch from one to another; each one has its own front page, its own content and its own points balance.
FAQs#
When is it better to create a new project instead of a new journey?
Create a journey if the route shares the audience, the points and the store with what already exists. Create a project if the initiative has a different audience, a different points budget or has to be measured separately.
Can I change the project dates once it has launched?
Yes. Bear in mind that challenges with their own dates are not recalculated: they keep theirs.
Can one person be on two projects?
Yes, and it is the usual set-up when a campaign and an ongoing programme run side by side. Their points and their progress are independent in each one.
Can I delete a location we no longer use?
Deactivate it instead of deleting it. That way the history of the people who were there is kept.
Limits and warnings#
- Moving someone to another location or organisational unit changes what they see. They stop receiving the content segmented to their previous site and start receiving the new one's. The progress already earned is not lost.
- Allowed domains filter sign-up, not access. Restricting them later does not throw out anyone who is already in.
- If you switch a module off at company level, it disappears from every project. To switch it off in just one, remove it from that project's menu.
- The default language is not a plan B for untranslated text. See Branding and languages.
