The admin panel on the Home screen: programme metrics, breakdowns by challenge and by location, named lists and a notice to a segment without leaving the screen.

What it is and what it's for#

The admin panel is the first thing you see when you log in as an administrator. It is not a report: it is a working screen. It answers three questions in a row, always in the same order.

    A row of general metrics and the activity curve for the last 28 days.

    What has got stuck?

    The operational alerts and the breakdown by challenge, by challenge group and by location.

    Who do I call?

    Every metric opens up and gives you the list of people behind it, with name and email.

That last part is the difference from an ordinary dashboard. A number tells you there is a problem; a list tells you who to write to. Here you can copy the emails, download the list or send a notice to those people without leaving the screen.

How to set it up#

There is nothing to configure. The panel calculates itself from the activity of the project you are in and appears automatically to anyone with an administrator profile.

The only things you decide are which metric you open and who you act on afterwards.

The row of metrics#

Below it is the Daily activity · last 28 days curve, which is there to show the shape: whether the programme is rising, holding steady or fading out.

Needs your attention#

Three operational alerts that are not statistics, they are a work queue:

  • Pending approvals — challenges marked by the person and waiting on a manager.
  • Overdue challenges — assigned challenges whose deadline has already passed.
  • Comments to moderate — messages held back and waiting for review.
Aviso:

All three are debt that grows on its own. A large approval queue does not just delay points: whoever has already done the work and sees no result stops doing the next one.

Below them are the Recommendations to improve engagement: specific statements the system infers from the data itself and sorts by urgency.

Challenge analysis (28 days)#

The Challenge analysis (28 days) card explains where progress is coming from (and where it is not). At the top there are three quick summaries —Best-performing method, Completed (28 days) and No activity— and below them the table:

Consejo:

Compare Completed with People. If the two numbers are similar, the challenge is reaching a lot of people. If there are many completions and few people, a small group is carrying it and the rest have not even seen it.

Challenge groups#

The same reading, one level up: Group, Challenges, Assigned, Completed, Progress and Overdue. It is there to pinpoint the block of the journey where people get stuck, instead of going challenge by challenge.

Participation by location (28 days)#

The Participation by location (28 days) table breaks the programme down by site: Location, People, Active 28d, Participation and Challenges.

Nota:

It is the table that generates the most decisions. The project average is almost never actionable; the gap between the leading site and the last one is.

Opening a metric#

The metrics and the rows of the tables can be clicked. Doing so opens a detail panel with the people behind them. While it loads you will see Finding the people…; if there is nobody, Nobody in this metric right now.

The list always has the same fixed columns —Person, Email, Location— and two columns that change depending on what you opened: for example Last seen and Days away for people at risk, or Challenge and Waiting for approvals. The last column summarises that person's progress under Challenges.

If the list goes past 50 rows, it is paginated with ‹ Previous and Next ›.

What happens next#

The panel is for management: the employee sees none of this. What they can notice is what you do from here.

Copying the emails

The Copy N emails button puts the list on the clipboard, separated by semicolons, ready to paste into the To field of an email. It is the fastest route for a one-off communication.

Downloading the list

Download Excel generates a file with the same columns you see on screen, to share among managers or cross-reference with something else.

Selecting specific people

You can select rows one by one, or all at once from the header. With rows selected, copy, download and notify apply only to those.

Sending a notice

Notify these people (or Notify N selected if you have selected rows) opens a form with Title (the first thing they see) and Message. Before anything is sent, the system tells you how many people you are about to notify and how many of them have the app installed. It is sent with Send notice; Cancel closes without sending anything.

The notice arrives as a notification on those people's phones. Selecting rows can only reduce recipients: you will never be able to notify someone who is not on the list you are looking at.

Aviso:

A notice that has been sent cannot be withdrawn. The number of people with the app installed is usually rather lower than the number of people in the metric: read it before you click Send notice, because that is the number that will actually receive the message.

Frequently asked questions#

Why do the number on the metric and the number in the list have to match?

Because they are the same thing counted twice. If a metric says 128 and the list brings back a different figure, one of the two is wrong: report it instead of working from the list.

Can I see another project's panel?

The panel always shows the project you are in. To see another one, switch project.

Does the list bring back everyone or just a sample?

It brings back the complete list for the metric, paginated 50 at a time. On very large metrics there is a cap; when it is reached, the screen says so.

What do I do if a challenge shows zero activity?

Before withdrawing it, read it as if it were your first day. Almost always it is badly explained, asks for something impossible in that role, or sits behind a prerequisite nobody gets past.

Can I notify only the people at one site?

Yes: open that site's row in Participation by location (28 days) and notify from there. The segment is already the site.

Limits and warnings#

  • The metrics use different windows. Some look at 7 days, others at 28, and approval debt has no window at all. They are written in each title: do not add up figures from different windows.
  • The download is generated from what is already on screen. If you have selected rows, it downloads only those; if not, it downloads the metric's entire list, not just the page you are looking at. The file opens in Excel, although it is not a native .xlsx.
  • The notification does not reach anyone without the app installed. If the number of reachable people is zero, nothing is sent, and the screen says so instead of treating the send as done.
  • A notice is not a substitute for a news post. It is a short nudge for a specific list. Anything everyone has to read goes on the feed.
  • A column with the same value in every row is not data, it is a fault. If you see a long list where a column repeats the same text top to bottom, do not use it to decide: report it.
  • The data is calculated when the screen opens. If you have just approved a batch of challenges, reload before reading the metrics again.
