What it is and what it's for#
Two screens that work on content that already exists. They do not create challenges: they dress them up and remind people about them.
- 1
Materials library
A store of project files: images, documents and videos. You upload the file once, copy its link and use it wherever you need it: in the description of a challenge, in a news item, in an email.
- 2
Manage challenge display
Highlighted messages shown only to people who still have an outstanding challenge from a list you choose. They are there to pull back people who have stalled halfway, not to present new content.
The library does not record which challenge each file belongs to. It is a single list for the project, and the link is one you create yourself when you paste the URL where it belongs.
How to set it up#
1. Upload a material#
- 1
Drop the file
Files upload one at a time. While it uploads you will see a progress bar; if something fails, the error appears on the screen itself.
- 2
Check the Description
The Description field fills itself in with the file name. Change it to something you will recognise in six months' time: it is the only thing you will be able to find it by later on.
- 3
Save
Save moves the file into the list, and it now has a link.
- 4
Copy the link and use it
In the Actions column of each row you have Copy, View and Delete. Copy puts the file's link on your clipboard; paste it into the description of the challenge or the news item.
The list shows a preview of each file: images are displayed, PDFs open in a viewer and videos play right there.
The header has three dropdowns (Filter by journey, Filter by Action Group and Filter by Category). Since files are not linked to a journey or to a challenge, the reliable way to find something is the Description. Give it a prefix per journey and the library sorts itself out.
2. Create an outstanding-challenges message#
From Manage challenge display, the Add new button creates the message and you fill it in inside a window:
| Field | What it does |
|---|---|
| Title (ES) and Title (EN) | The text that is shown, in each language. That is the whole message: there is no body and no image. |
| Linked challenges | The challenges being watched. You can choose several. |
| Priority | A free field that orders some messages against others. |
| Status | If it is switched off, the message is shown to nobody. |
The list shows you at a glance the Priority, the Title, the Linked challenges and the Status of each message, and it is edited from the button in its row.
The message is not scheduled by dates. It is shown, or stops being shown, according to what each person still has left.
What the employee sees#
- Materials do not have a screen of their own. The person sees them inside the challenge or the news item where you pasted the link, not in a library.
- The outstanding-challenges message appears highlighted to them for as long as they still have at least one of the linked challenges outstanding.
- It disappears on its own. As soon as all those challenges are completed and approved, they stop seeing it. There is no need to withdraw it by hand.
- Anyone who has none of those challenges assigned never sees the message.
Frequently asked questions#
Can I upload several files in one go?
No. Uploading is one file at a time: you choose, describe and save.
What happens if I delete a file that was already linked?
The link stops working wherever you had pasted it, and there is no way of knowing where that was. Before deleting, make sure no content is using it.
Can I replace a file with a new version?
There is no in-place replacement: you upload the new file, copy its link and update the content that was using it. The old link is not redirected.
How many challenges can I link a message to?
As many as you like. The person only needs one still outstanding for them to see it, so a message with many linked challenges stays visible to them for a long time.
Is it any use for announcing something new?
It is not what it is for. Only people who are running late see it, so a general announcement would not reach anyone who is up to date. News items are there for that.
Does the message take away points or block anything?
No. It is only a visible reminder; it does not change deadlines, or points, or the status of any challenge.
Limits and warnings#
- Deleting a material breaks the links already pasted, with no prior warning and no list of where it was being used.
- The description is the file's only piece of data. There are no folders, no tags and no relation to the journey: if you do not describe things properly, the library becomes useless within a few weeks.
- Each project has its own library. A file uploaded in one project does not appear in another project's list.
- Switching a message's status off withdraws it instantly for everyone, including anyone who was looking at it.
- Titles are not translated on their own. If you leave one language's title empty, anyone using that language will see a blank message.
- The materials screen also has a Send push notifications for new challenges button. It has nothing to do with the files: it fires alerts to people's phones. Be careful not to click it while you are uploading things.
